TeleClock™ Small Business System Features

 

Basic Interface

TeleClock provides a Windows interface to all of the non-voice related components and features. The TeleClock program can be run on any network workstation which has access to the TeleClock MSDE database.

Security settings control access to each of the TeleClock features.

Employee Maintenance

Employee details can be viewed easily within TeleClock. There is a limit to the information which can be changed from within TeleClock because most employee information is required to be imported from the time & attendance system to ensure integrity of data. The only items able to be changed are shown on the screen above. These are PIN number, Audit Recording, Active flag, Voice file name for the employee name recording, and Clock Offset Group for different time zones.

The “Transaction” tab of the employee detail screen displays all of the transactions for the current employee. These transactions are shown with any cost centre information and if the transaction has any associated voice recording, such as an audit name recording, then this can be played by selecting the required transaction and pressing the “Play Recording” button.

All voice message information can be viewed for the current employee from the “Messages” tab. Along with the message information TeleClock will play the highlighted message using the windows media functions of your workstation. Any reply to the highlighted message can also be played.

Job Costing Features

TeleClock can provide for up to 7 levels of job costing capture. These 7 levels are user definable for the length of the job code entered, as well as the validation that is performed on the code entered.

Voice prompts are set up to correspond with these defined costing descriptions to provide a consistent look and sound across the entire TeleClock system. TeleClock can have short codes entered which can correspond to longer job costing codes within the time & attendance system.

Job Costing Groups can be set up and attached to employees. This will provide the employee with a list of voice prompted job codes, without the employee having to remember their most often used codes. Up to 9 job codes can be attached to one group giving the employee a single digit entry for these job codes. Each of the 3 levels of costing within TeleClock can have their own group defined.

System Option Codes

TeleClock maintains a database of system options which are used to control the information which is delivered to callers. This system allows new features to be added to TeleClock without compromising the integrity of older systems.

Telephone Line Options

Each of the installed telephone lines can be configured in a slightly different way to provide a wide variety of options within the system.

The system maintains a record of all the calls received for use in capacity planning.

If only 3 lines are included in any inwards ring group, then the 4th phone line can be configured to provide payroll and time worked information to employees calling from their homes or outside the workplace. This ensures that employees cannot clock in from home.

Time Zone Support

Employees are linked to time zones which instantly convert TeleClock times to the local employee date and times. All information stored, exported and reported back to the employee is in the employee’s local time.

Message of The Day

The system supervisor can record a message of the day which is played to all employees the first time they use the TeleClock system each day. These messages are very useful to inform employees of special events for a given day. Messages can be recorded days or weeks in advance if required.

Transaction Log

All activity within the TeleClock system is displayed on the transaction log screen. This information includes all unsuccessful calls to the system by employees, all invalid PIN attempts, as well as all clockings both in and out.

The transaction log screen also displays the status of each of the installed voice board lines using the traffic light icons. Lines that are unused are shown as green traffic lights, lines being used by a caller are shown as red traffic lights.

The transaction log can be searched by word or part-word. This is useful for finding all transactions related to a particular employee.

Allowances

TeleClock allows employees to enter allowance information which is normally captured by manually providing information to payroll staff. These allowances are such things as travel allowance, wet weather allowances, dirt money, or other non-time based allowances.

TeleClock can set requirements for this allowance entry by defining a minimum and maximum value which can be entered, as well as setting if a cost centre and a date are required for the allowance. These allowance entries would normally be verified by payroll staff in the same way as employee times are checked and approved.

TeleClock will also allow allowance groups to be set up and prompt employees automatically without the need to remember associated codes for allowances. The system will work along the lines of:

  1. "For Kilometres Travelled press 1..."
  2. "For Wet Weather money press 2..."
  3. "For Dirt Money press 3..."

These groups can be defined and attached to each employee as required.

Software Update Options

TeleClock can be configured to automatically apply any software updates at a set time of the day. The options for applying these updates are shown below.

TeleClock can also be set to reboot the computer at a set time of each day or one day of the week. This is very useful to clean the operating system and provides a fresh start to the Windows operating system.
