TeleClock is a telephone IVR time clock system. Simply put, this allows your employees to clock in, clock out, plus enter job costing information and retrieve other information such as rostered hours and payroll balances using a normal touch-tone telephone. The touch-tone phone used can be located in your business premises, your remote client’s home or workplace, or the employee’s home for those employees logging in from home. For truly mobile employees a mobile phone can also be used.

TeleClock has been designed to support all of the standard data collection requirements needed for Time & Attendance systems. Employees can enter a simple in or out punch, or perform a cost centre transfer or activity code entry. Up to seven levels of cost centre data entry can be defined with each level having separate options and definable voice prompts. Companies can decide the length of the entered codes, if these codes are to be validated against a database, and record voice descriptions for these cost centres.
TeleClock saves payroll and HR staff time by letting employees review their previous time punches and inquire about total hours worked for the week or pay period. Employees can also review available accrual balances for Holiday Pay, Sick Pay, Special Leave, as well as most other time and payroll balances. The access to this information is able to be defined in great detail. For example an employee could hear their previous year holiday balance, but not their current accrued leave.
Security allows optional PIN numbers for employees, supervisors and system operators. Users can change their PIN on demand. TeleClock caller ID logging and associated restrictions are also available.
TeleClock is highly configurable, yet easy to use. Your system operator's primary responsibility is to record employee names. Additional functions include recording account names, activity code names and the optional system Message of the Day. Supervisors can record personalised messages which are sent to individual employees or broadcast to a department. Messages can be created from anywhere there is telephone access to TeleClock. Employees are advised of new messages immediately after logging in, saving time that would be wasted locating employees or having employees report to the wrong location for the day's needs. Your system operator can assign employees as supervisors.

Q. Do I need extra telephone lines to receive the calls from our staff?
A. Using TeleClock Small Business, all of the hardware and software is installed in your business premises and operates utilizing telephone extensions from your PABX. During quiet times there is no need for any extra telephone lines to operate TeleClock and as most clients operate from within their organization they do not require external telephone connections to TeleClock.
Q. Isn’t this technology complicated and expensive?
A. Other companies would have you believe that the cost for individual companies to buy this type of software and hardware is high. We have developed and sold TeleClock for almost 7 years and have been developing similar technology systems for 10 years. The cost and reliability of the TeleClock system is very affordable and as simple as any computer application to operate. If you operate more than two electronic time clocks currently, then TeleClock is a more cost effective and powerful solution.
Q. My staff are spread all over the country, how do they use TeleClock?
A. Clients can implement TeleClock Enterprise for their staff to use to call in to TeleClock. Time zone differences are compensated for with the TeleClock software and the calling number and location of staff can also be recorded.
Q. Can our staff use mobile phones to access TeleClock?
A. Certainly. But remember that current technology does not enable you to identify where the call is coming from (other than the number of the mobile phone). We need to discuss the use of mobile phones if you have a need in that area.
